Meeting minutes for October 14th, 2003

Present: Kevin Deane-Freeman (President), Jan Erik Laursen (Vice President), Brent Dozzi (Treasurer), Tyler Borges (Social Coordinator), Edmund Gin (Secretary), Shaun Hodgins (House Liaison), Cameron Reeves (Paraphenalia), Darren Farnworth (Western Province Councillor), Justin Malcolm, Bryce Bendickson, Ron Byrne.

As a quorum was achieved, the meeting was called to order at 7:03 pm.

1. Executive Reports:
• Secretary
• Newsletter is done - soft copy is posted, hard copy to be mailed out
• Castle article submitted
• House Liaison
  • House is still standing
  • Dryer being donated by Art Rennison
  • DFarnworth raised concerns about oversight (or lack thereof) by Alumni of House books

• Social Coordinator
  • Chief's Birthday was fun
  • Christmas Social at Scott Groves' place, December 7th

• Vice President
  • Moving to Vernon at end of November

• Business Manager
  • Tabled until later

  • Nothing to report

2. National Report

Vote on National Insurance Policy is due.

3. Insurance

Still not sure exactly what we have - probably about half of what National wants, but with lots of exclusions. BDozzi to look into it.

4. Mail Server Report

JMalcolm to talk to JBreadner about server. Domain is available (owned by JMalcolm), machine is up and running - just need to connect the two.

5. Christmas Social Budget

TBorges to talk to BDozzi re: budget, since still have some stock left from previous year.

6. Executive Reports (Part 2)
• Treasurer
• Operating account at $172.17, Maintenance Account at $4923.91, House Account at nil.
• Mutual Fund is at around $13220.20 as at the end of June, consists of both Chief's Bursary endowment and House Maintenance account (Chief's Bursary endowment is approx $2000)
• Insurance policy was switched from replacement value to cash value, 3rd party liability is at $1 Million with $1000 deductible, many exclusions (BDozzi will check up on exclusions)
• Christmas Party 2002 collected $675, spent $600 + surplus alcohol
